Advantages
Scanners save time as compared to manual entering of data. This is because scanners have a high motion which allows the user to scan documents with high accuracy.
Moreover, scanners reduce the human errors. Employees are likely to make mistakes while entering data which may result in detrimental consequences to the organization.
Purchase of a scanner will likely reduce the cost and time of training employees. This is because scanners require few minutes to master how to use them. The cost of training will also be reduced after the purchase of a scanner (Koutsoudis et al., 2014).
Disadvantages
However, scanners can break down at any time resulting in pilling up of documents.
Scanners can be expensive to maintain because they require regular replacement of the lamps, cameras and the lens.
The quality of the scanned documents can vary depending on the quality of the lens and the condition of the original documents (Koutsoudis et al., 2014).
Employee
Advantages
The cost of employing an employee can be cheaper compared to the cost of purchasing a scanner.
The quality of the original document does not affect the quality of the entered data.
Disadvantages
An employee is likely to make an error by misplacing some documents or entering the wrong data (Schiff et al., 2015).
Factors such as tiredness may affect the efficiency of the employee when entering data.
An employee requires training on how to enter and verify data.

The training may be expensive and time-consuming.
Recommendations
Based on the analysis of the advantages and disadvantages of purchasing a scanner and recruiting an employee, I would recommend the director to purchase a scanner.
A scanner saves time as compared to an employee who may take much time to enter data.
Furthermore, scanners are less vulnerable to human errors as compared to an employee. This is because a scanner produces a document similar to the original document.
Thus, recruitment of an extra employee will likely not solve the problem of paper pilling up.
