To whom it may concern,
I am writing this letter to inform you about Ms. S. Bean’s conduct at the office. I have interacted with her at Warwick Post Office where I am currently working on an acting capacity. I have found Ms. Bean, to be extremely controlling which makes it difficult for people at the office to relate well with her. For instance, when she receives cards of addresses that are meant to be changed, she insists on having them with labels. I informed her that she was receiving the cards without labels because we had limited staff. However, she could not hear any of it.
Additionally, when Ms. Bean came to the office after going to send her mail, the first thing she did was to complain that her change of address had not been done. I explained to her that I did not have anyone to help me perform tasks at the office. I informed her that the two young men who assist me only come to the office on Tuesdays and Thursdays and that only one of them knows how to change addresses. I also explained to Ms. Bean that the two gentlemen only come to the office for only one hour and that on that particular day, they were away because it was their first day at work after summer. They needed to go and refresh their memory. Additionally, my co-worker was away from work following a new appointment she got which she had to prepare for. I was, therefore, all alone in the office when Ms. Bean arrived.
I was overwhelmed by work. I had eight parcel bags to work on.

Whenever I have so many parcel bags to handle, I usually work during lunch hour. On the day Ms. Bean came to the office, I had customers to attend to the whole day and I could hardly spare time at lunch hour to work. The tasks that I had to do were overwhelming, and Ms. Bean was not making it any easier. I felt frustrated, but I had to remain calm while attending to her. I, however, decided to write to you so that you can intervene.
I kindly request that you ask her to be kind and courteous whenever she comes to the office. I understand that she likes to express herself and to make her voice heard. However, please inform her that she can present her complains without being insulting. Communicating effectively and respectfully can help resolve conflict in the workplace. Kindly also teach her the need to respect people and the work they do. She needs to appreciate that in an office environment, work can be overwhelming and she should, therefore, wait patiently to be served. Additionally, she should learn how to listen. She should also learn how to politely and respectfully ask to be served. I truly hope that she takes your advice and changes her behavior for the better.
