To whom it may concern,
Thank you for your Email,
Unfortunately, I will not be able to join you as a part member given the conditions laid before me. Four- six hours each month for board meetings and two-six hours each month volunteering seems to be a lot to me because I don’t see where I can get such a time in my current schedule. I even need more time in my view to sort other things, which are affecting my life like schooling and family.
I would like you to know that I am a fulltime student and at the same time, I work part-time to make sure that I gather for my family and my educational needs. I also need to make sure that I accept something, which I will be able to fulfil the demands required for it. I understand that you stand for a definite course and making sure that the communities and make sure that the society is moving towards a positive direction in life.
I am sorry that I could not make to be one of your board members and I would like you to know that I am praying for the plan of yours. I see this email means a lot to the community, but I decline it regretfully. I hope that you will find someone else who will do my part for me and do it better than me. I hope that in future I will have the opportunity to consider your offer.
Thank you.

2. Indirect Approach
To Whom It May Concern,
Thank you for your email. I would like you to know that I am pleased that you are interested in making me one of your board members.

Wait! Negative message response email paper is just an example!

I am dreaming that future; I will work for an organisation like yours. Volunteering is what makes people share hard times, and it brings the society together that is why I was part of the community is very happy to know that someone somewhere is busy working towards making sure that the community around us is taking care of positively. I admire your job in the modern world, and I appreciate your everyday works.
Unfortunately, I would like to tell you politely that I would not make it be part of your board members. I take this position because I have family commitments, schoolwork and some part-time jobs to fulfil. The activities mentioned above have made it hard for me to find time to engage in the events, which have been you have mentioned in the email. Another reason for me doing this is that I would like to give you promises, which I know I will fulfil and make sure that I will be punctual always. I hope that you will find a replacement for me and that you will succeed in your plans. I will consider accepting your offer in future.
Thank you.
