The adoption and use of the digital system have been of significant impact in the different sectors, the health care system not an exemption. However, the change is adopted gradually to ensure maximum benefit from the undertaking. Our current system has been the manual system, typically known as the filing system. It has facilitated the smooth flow of information in the various department, although the digitized system was slowly being implemented in the different department. As a result of the two systems running concurrently. There has however been a lot of duplication of work, while others claim that some files are missing, and the most recent occurrence being the destruction of many records by fire, among other issues. The current resolve, therefore, is to phase out the manual system and go wholly digital. The effort will ensure the safety of all patients’ data, as it is all digitized and backed up. It will also facilitate the accessibility of their files from the hospital information system from whichever department they are or require services. The system will also extend to serve the administration (Types of Hospital Information Systems., n.d.) whereby, any vital decision that needs to come to the attention of everyone is available online. While for the executive decisions that only stick with them, the system will allow the executive management access only. Nonetheless, the supply cycle will be availed as well, making it easy to replenish diminishing stock as the re-order level draws near.

The system will prove to be quite effective to the organization since all departments are interlinked enabling the flow of information for example, from the reception desk to the finance office (Types of Hospital Information Systems., n.d.), the laboratory, the pharmacy and chemist and also interlinked to the various specialists in the hospital. Services are therefore proficient. Maintenance of patients’ files and other medical history and relevant documentation becomes much easy to access, and the rising cases of missing data no longer become an issue. Getting to reconcile the two systems already in operation may prove a bit cumbersome. Our proposal, however, is to implement an entirely new information system and launch it in all departments not using the per department basis. The new system will ensure that the entire organization is running on a uniform system which makes it easier to understand. Therefore in replacing the existing system, the information available on files among other records is recorded. Beginning with all information acquired in the organization in the past year. Additionally, any information that is still relevant or is used on a daily basis from previous years is uploaded to ensure convenience (Types of Hospital Information Systems., n.d.). Henceforth, the records are uploaded when patients arrive, or any critical information needs uploading into the system. For the already digitized system, all the files in the system will be copied into the new system. The old system will hence be wholly phased out with the launch of the new system. Hence the need to ensure its effectiveness and reliability before its launch as it will significantly impact the entire operation of the organization. We, however, trust that with the new system we will be opening a new chapter for better services to the patients and the smooth flow of information in the entire organization.
